Establishing an Implementation Plan

Overview

The Implementation Plan has two phases: 1. Alignment and 2. Implementation Readiness. Alignment prioritizes the importance of a shared vision of Footy usage across the organization. The realization of benefits via alignment will be a critical first step to the success of the club adoption. After alignment we enter into an Implementation Readiness phase in preparation for a Go-Live and Sustainability plan takeover.

phase 1. Alignment

A: Identify.    To establish the most appropriate Footy App product for each user

B: Engage.    To build a plan for awareness and communication amongst leadership, coaches & players

C: Analyze.   To assess usage expectations and goals prior resource integration.

D: Integration.   To begin uploading resources of each feature in preparation for initial sampling.

phase 2. implementation readiness

Constructing Team Accounts

 

  1. Team Information: The most pertinent information for a team setup are (1) Team Name (2) Account Type of Users –Training/Pro and (3) Point of Contact Information. Footy can create 22 player accounts and 5 coach accounts.

  2. Players: The most pertinent information needed for players include (1) Full Name (2) Email (3) Age and (4) Gender.  Additional information (Username, Password, Position) are required but can be generated automatically by Footy.

  3. Coaches & Managers: The same information is needed to create an account for the coaches and managers. These accounts will be linked to their players and have access to different features.

  4. Coach Admin Panel Access: Coaches/Managers will also receive login to Footy’s admin panel for account management, player tracking and resource uploading (https://admin.footytraining.com/)​

Resource Uploading

The Club Admin should take time understanding how to upload resources into the Admin Panel for player access. Such resources are listed below:

 

1. Club Methodology: Coaching Education Resources, Philosophy and Sample Sessions

2. Featured Sessions: Upload your own 'scheduled' Video Sessions

3. Player Evaluations:  Match Performance, Functional Standards, Technical, Physical, Mental & Lifestyle Assessment, etc

4. Team Evaluations: Match Performance, Annual Standards Assessment

5. Key Performance Indicators: Player Tracking Data Points

6. Video Analysis: Clips by position, age and situation. Off-Season Preparation

7. Team Resources: Team Handbook, Session Templates, Presentation Material, etc.

8. College Preparation Resources

9. Physical Programming: Customized Strength and Conditioning programs

10. Educational Resources: Sports Psychology, Leadership, Nutrition and Sleep

Marketing Material:

1. 'Train' Module Pictures

2. Hastag Challenges

3. Organization Promotional Events

Distribution of Team Accounts​

​

Individual accounts will be distributed to the players via the team’s preferred point of contact (coach, manager or director) while noting the Club Point of Contact and Communication Liaison. Our aim is to replicate the same distribution process to on-board the entire club as is done here.

Education and Engagement​

​

Accompanied with accounts, the coaches and managers will have access to educational material to pass on to their players. Such material will give the user good understanding of how to use Footy and make use of all its features. It will also include tutorials to help the club admin, coach(es) and manager(s) understand how to manage accounts.

Communication and Support​

​

Under communication and support, we establish the working collaboration of

(1) administration directing staff

(2) coaches and managers implementing with players and

(3) players referring back to Footy for support.

The intention is to define clear lanes of responsibility and boundaries for structured outreach to drive maximal amount of usage.

phase 3. GO-LIVE FULL ONBOARDING

After assessment of the single trial with adjustments made, we now approach full club adoption. The following documents and meetings will be needed to proceed

 

Account Creation

Roster:  A club-friendly spreadsheet that includes all Team, Coach and Player information to produce all accounts.  

  1. Teams: The Club Roster should be sorted first by Team. With each team should identify the unique team name, gender and age, and should account for all players, the coach(es) and manager(s).

  2. Players: These player accounts will need the same required information as done previously during trial (1) Full Name (2) Email (3) Age and (4) Gender. Addition information (Username, Password, Position) are required but can be generated automatically by Footy.

Note: At this point, we will have all information to assign all players to their respective team while being linked with their coach(es).

 

Communication Meetings

  1. Zoom Meeting for Footy Education (Pro Coaches): Footy recommends to host a meeting for all staff to walk through all features, functionality of admin panel, their oversight, best practices and our unified vision for player development. This will be the single most important meeting to engage the staff and to be understanding as to how to help their players log into accounts and maximize all features. It will also open lines of communication for any current or future questions that the staff may have for the Footy Project Manager.

  2. Zoom Meeting for Footy Education (Training Coaches): Footy recommends to host a meeting as well for all staff that will have players with the Footy ‘Training’ accounts. Despite the fact that these accounts will not have access to any player-coach link, these coaches are still to be the best advocates for driving usage. In this meeting we will walk through all features and best practices of the Footy ‘Training’ app and help communicate their role in using this app to help all efforts to have a positive experience from playing the game. Again, the goals for the recreational player would be (1) positive experience and (2) conversion to competitive.

  3. Zoom Meeting for Footy Education (All Pro Players): Footy strongly recommends to host a meeting for all players that will have Footy ‘Pro’ accounts. We want to make sure that players understand all features. This will be the single most effective way to communicate usage expectations from the Club, Coaches and Footy. This will also be the opportunity to address any questions directly and keep all communication from the player/parent to Footy only (and not Club Administration).

  4. Zoom Meeting for Footy Education (All Training Players): Footy also recommends to host a meeting for all players that will have Footy ‘Training’ accounts. Although offered less access, it is still vital that we walk through with the players all the features and training sessions available. We want Footy to help these players find achievement through positive experience and just a bit a guided session will do so much. This will also be the opportunity to address any questions directly and keep all communication from the player/parent to Footy only (and not Club Administration).

 

Club-Wide Go-Live

  1. Account Distribution:  Footy will distribute accounts to all players, coaches and manager as constructed. 

  2. Open Zoom On-Boarding Meetings: Footy will host daily Zoom meetings for the entire week of implementation to field any questions, comments and concerns.

  3. Email Communication: A series of emails will be sent to ensure all lines of support (ex. account questions, feature functionality, best practices) will be accounted for via description and tutorial videos.
